The fine print, in plain words

These terms apply to private journeys booked with Trekoora, a brand of GEC Transport Pty Ltd (ABN 17 672 274 770). By confirming a booking you accept them. Last updated 28 September 2026.

1. Booking and payment

  1. Every journey is private: the vehicle, the host and the day are for your group only. The price is for your group, as shown when you book, in Australian dollars and including GST.
  2. To reserve, you pay a deposit of 30% of the total by card. The balance is charged automatically to the same card 14 days before your journey; we email you a reminder a few days before. If you book less than 14 days before your journey, you pay the full amount when you book.
  3. Card payments are processed securely by Stripe. We never see or store your full card number. We do not add card fees.
  4. If the balance payment is declined, we email you a secure link to pay. If the balance is still unpaid 48 hours before the journey, we may cancel the booking under the cancellation rules below.
  5. Your booking is confirmed when you receive our confirmation email. Online booking closes 48 hours before the pickup time; for anything sooner, please call or message us — we will help if we can.
  6. If we make an obvious pricing or typing error, we will tell you; you may then cancel for a full refund.
  7. Journeys shown with a “tailored price” are quoted for your group. A quote is valid for the dates and group it was written for.

2. Cancellations and changes

If you cancel

  • More than 7 days before the journeyFull refund. You can cancel yourself from “My booking”, and the refund goes back to your card straight away.
  • From 7 days to 48 hours before50% refund of what you have paid. Please contact us to cancel.
  • Less than 48 hours before, or a no-showNo refund.

Journeys that include prepaid tastings, tickets or venue bookings may carry the venue’s stricter terms. If so, we tell you before you book, and those terms apply to that part of the price.

Changing your date

You can ask to move your journey to another date at no charge, subject to availability, up to 7 days before. Later changes are treated as a cancellation unless we can accommodate them. Fewer guests after the free cancellation period does not reduce the price.

Weather, closures and safety

Your host checks the forecast, park alerts and road conditions before every journey. If the weather makes the day unsafe or clearly spoils it, we will offer you a free change of date. If a track, lookout or venue is closed, we change the plan to something of equal quality. If we have to cancel and you cannot take another date, you receive a full refund.

If we cancel

In the rare case we cannot operate your journey (for example a vehicle breakdown with no replacement, or a safety closure), you receive a full refund of everything you paid, or a new date if you prefer.

3. On the day

  1. Pickup. Please be ready at the agreed pickup point and time. Your host waits 15 minutes at no charge. If you are not there after 15 minutes and we cannot reach you, we may treat the journey as a no-show. If we are more than 15 minutes late and you choose not to go ahead, you receive a full refund.
  2. The plan of the day is a guide. Times on the road depend on traffic, weather and the pace of your group; your host may change the order of stops to give you the best light and the fewest crowds.
  3. Changes on the day — extra hours, extra stops or a different drop-off — are welcome where possible and may be charged at the rate your host quotes you.
  4. Walking. Some stops involve walking on natural, uneven or wet tracks and stairs. Please tell us about any mobility needs when you book, wear closed shoes and bring a warm layer and a raincoat.
  5. Children. Tell us the ages of any children when you book. Queensland law requires children under 7 to travel in an approved child restraint, and we fit the right seat for each child.
  6. Luggage. Journeys are for day bags. Tell us in advance if you need to bring suitcases.
  7. Photos. Your host may take photos of your group during the day and share them with you. We only use photos of guests in our marketing with their permission.

4. Safety and conduct

  1. Seat belts must be worn at all times when the vehicle is moving. Smoking and vaping are not allowed in vehicles.
  2. Alcohol is enjoyed at licensed venues only, under responsible service of alcohol laws. Venues may ask for ID and may refuse service.
  3. In national parks, please follow your host, stay on marked tracks, keep behind barriers and leave plants, animals and rocks as you find them. Some parks close tracks for safety or cultural reasons; we always respect those closures.
  4. Your host may refuse or end a journey, without refund, if a guest’s behaviour is unsafe, or damages the vehicle or the places we visit. Damage caused to a vehicle is charged to the booking.
  5. Pets are not permitted, except assistance animals — please tell us when you book.

5. Gift cards and codes

  1. Gift cards can be used towards any private journey for three years from purchase. They cannot be exchanged for cash. Any unused value stays on the card.
  2. If a booking paid with a gift card is cancelled with a full refund, the gift value goes back on the card.
  3. One promotional code can be used per booking. Codes cannot be applied after a booking is made.

6. Liability and insurance

  1. Nothing in these terms excludes, restricts or modifies your rights under the Australian Consumer Law. Where the law allows, our liability for a failure to provide the services is limited to providing them again or refunding the price of the journey.
  2. We hold public liability insurance for passenger travel. This is not travel insurance: we recommend you have your own travel insurance, including for your personal belongings.
  3. Where the law allows, we are not responsible for losses caused by events outside our control, such as severe weather, natural disasters, road or park closures, traffic incidents or the acts of third parties, nor for missed connections after the journey.
  4. Some parts of a journey may be provided by other operators or venues (for example a café, winery or attraction). They are responsible for their own services.
  5. If you have a concern about your journey, please tell your host or contact us within 24 hours so we can put it right.

7. Privacy

We use your details to plan and run your journey, take payments and keep in touch about your booking. We share them only with the people who need them to deliver your day (your host, venues, and Stripe for payments) or where the law requires. We send marketing only with your consent, and you can unsubscribe at any time. Read how we look after your information in our privacy policy.
